Who is responsible

For inspection data, the trucking company that uses RigCheck decides what is collected about its drivers and vehicles; we process that data on the company's behalf. For our own website, sales and billing, we are responsible.

What we collect

Account details: names, work email addresses and phone numbers of company staff; driver names, driver IDs and preferred language.

Inspection records: photos of vehicles taken in the app, with the time, GPS position, compass heading, weather and device model when each photo is taken; inspection answers, defects, signatures, odometer readings and tread readings.

Voice messages a driver records at the end of an inspection, and the written and translated text made from them.

Telegram chat IDs and usernames, only for people who choose to link Telegram for reminders and logins.

Billing details: handled by Stripe. We receive the plan, status and the last four digits of a card, never the full card number.

Website and app logs: IP address, browser or app version and pages used, to keep the service secure and working. Demo requests: the details you type into the form.

What we do not do

We do not track drivers' location between inspections. GPS is recorded only at the moment a photo is taken.

We do not read Telegram chats. The RigCheck bot only sends messages.

We do not sell personal information, share it for advertising, or use it to build profiles for anyone else.

How we use information

To provide the service: show inspections to the right company, check photos with RigCheck AI, remind drivers, match roadside inspections, prepare evidence packets and process payments.

To keep it secure, prevent abuse and fix problems; to answer support requests and demo requests; and to meet legal obligations.

AI processing

Photos are checked by Anthropic's Claude models through Anthropic's commercial API. Voice messages are written out by OpenAI's transcription API. Under these providers' commercial terms, data sent through their APIs is not used to train their models. The company's staff confirm or dismiss every AI finding.

Who we share with

Service providers that process data for us under contract: Supabase (database and storage, United States), Vercel (hosting), Anthropic and OpenAI (AI processing), Stripe (payments), Telegram (messages, if linked), and email delivery providers. We share information when the law requires it, or to protect people's safety, and with a buyer if the business is sold, under this policy.

How long we keep it

Inspection records are evidence, so we keep them while the company's account is active (federal rules require DVIRs for at least three months; companies often need them longer for claims). After an account closes, data is deleted within 90 days unless the law requires us to keep it. Demo requests are deleted after 24 months without contact.

Security

Data is encrypted in transit and at rest. Each company can see only its own data, enforced in the database. Every photo is fingerprinted on the phone and checked on the server, and access to photos is logged. RigCheck staff can open a company's account only to help it, and every such visit is recorded in an audit log.

Your choices and rights

Drivers: your employer controls your inspection records; ask them first, and we will help them answer you. Company staff can update their details in the dashboard.

Depending on where you live (for example California), you may have the right to know, access, correct or delete your personal information and to not be discriminated against for using these rights. Contact us and we will respond within the time the law requires.

Children

RigCheck is a business service for adults and is not directed to children under 16.
